AI consulting for medical clinics.
Outpatient ops are scheduling, intake, and prior-auth — three operations that AI is genuinely good at when it's wired into your EHR correctly.
The work medical clinics run by hand.
These are the operations we've seen compress the most when medical clinics hand them to a well-built AI workflow — measured against the actual hours your team spends, not a vendor demo.
- 01
Appointment scheduling, confirmations, and recall outreach
- 02
New-patient intake, history, and insurance verification
- 03
Prior authorization submission and status follow-up
What we typically ship.
Real workflows we've built for medical clinics. The right starting point for your team will be one of these — or a remix.
- 01
Scheduling & recall agent
Inbound voice + chat for new and existing patients with full provider-block and op-room awareness; outbound recall for lapsed care plans and follow-ups. Bookings land in your EHR scheduler directly.
- 02
Intake assistant
Converts new-patient forms, medical histories, and ID cards into structured EHR fields with redaction and human review before any chart is touched.
- 03
Prior-auth agent
Drafts and submits prior-authorization requests per payer rules, monitors status, and flags denials with the specific reason and the next-best action.
Discovery → Pilot → Production.
Every engagement starts with a one-week sprint — audit, ADR, and a written go / no-go on the operation you want to hand to AI. Roughly one in four pilots gets killed at that step; that's the point.
If we move to a build, you ship a single end-to-end agent on real data inside three to six weeks. We hand off repo, prompts, and runbook. Retainers exist for care and growth — never for lock-in.

- HIPAA — how do you handle PHI?
- BAA before any PHI is touched. We default to vendors that offer HIPAA-eligible configurations (OpenAI Enterprise, Anthropic Enterprise, AWS Bedrock, Google Vertex with HIPAA). Audit logs, access controls, and de-identification where the workflow allows.
- Will this work with Athena, eClinicalWorks, NextGen, DrChrono?
- Yes — Athena has the cleanest API of the big EHRs; eClinicalWorks, NextGen, and DrChrono we integrate via their APIs or HL7/FHIR feeds. We do not require you to switch EHRs.
- Can patients tell they're talking to AI? Should they?
- Yes, we always identify the AI on first contact — both for trust and because it's the right answer to a regulator who asks later. Patients accept AI for scheduling and intake at high rates when it works; we monitor sentiment weekly.
Send us your most expensive operation.
We'll have an audit on your desk in five days.
One PDF. No deck. No obligation. We'll tell you whether AI is the right answer for it — and if it is, we'll quote the build the same week.
